1. Job Purpose

The Data Manager is responsible for managing, analyzing, and optimizing all data processes within Toptouch marketing  

2. Key Roles and Responsibilities

 Data Strategy & Management

  • – Develop and implement a comprehensive data management framework for marketing operations.
  • – Manage and maintain agency databases, dashboards, and reporting tools.
  • – Oversee the collection, storage, and organization data (campaign performance, CRM, analytics).
  • – Integrate data across multiple sources (RFM, Kobo Collect, ODK, Office 365, etc.) to create a unified view of client performance.
  • – Ensure compliance with data privacy laws (e.g., GDPR, Kenyan Data Protection Act).

 IT Infrastructure & Systems Administration

  • – Oversee the agency’s IT environment, including servers, networks, workstations, and cloud tools (e.g., Microsoft 365, Google Workspace).
  • – Manage software licensing, user accounts, and hardware inventory.
  • – Implement and maintain cybersecurity measures, including antivirus, firewalls, access control, and regular security audits.
  • – Troubleshoot and resolve hardware, network, and software issues to minimize downtime.
  • – Manage cloud storage, email systems, and data backup processes for business continuity.
  • – Lead or support IT procurement, installation, and vendor management.

Data Quality & Governance

  • – Create data validation and quality assurance processes.
  • – Maintain data accuracy, completeness, and consistency across all tools and platforms.
  • – Regularly audit marketing and campaign data to ensure reliability before client reporting.
  • – Manage user access and enforce data security protocols.

 Reporting & Analytics

  • – Design, automate, and maintain real-time performance dashboards (e.g., Power BI, Excel Dashboards).
  • – Deliver actionable insights from campaign data to support optimization and decision-making.
  • – Generate monthly and ad-hoc client reports summarizing key insights and trends.

 Collaboration & Capacity Building

  • – Work closely with account managers and project managers to translate data insights into marketing actions.
  • – Support team members in data literacy and use of analytics tools.
  • – Liaise with clients on data-related queries and provide strategic insights.

 Innovation & Automation

  • – Identify and implement opportunities for automation in reporting and data integration.
  • – Stay updated on marketing analytics technologies (CRM tools, attribution models, APIs).
  • – Drive adoption of AI-driven tools for analytics, predictive modeling, and reporting.

Key Qualifications

Bachelor’s degree in information technology, Data Science, Computer Science, or Data Analytics or any other related field. A postgraduate degree or certifications (Microsoft Excel, Data Analytics, Power BI, or cybersecurity) is an added advantage.

Experience

Minimum 5 years in IT/ Data management, data analysis, and technology management roles within a marketing agency or IT services company.

Technical Skills

– Advanced proficiency in SQL, Advanced Excel and Power BI/Tableau

-Experience with CRM systems, and data management system platforms etc.

-Experience in data collection, coding of basic data collection such as ODK, Survey CTO, Kobo Collect.

– Strong understanding of network management, server administration, and cybersecurity.

– Familiar with cloud systems (Microsoft Azure, Google Cloud, Digital Ocean).

– Knowledge of data integration, automation, and API connections.
